Booking Process

How private journey planning works with Ranah Journeys, from first inquiry and route design to confirmation, preparation, and final travel support.

Overview

Booking a private journey with Ranah Journeys is designed to be personal, practical, and clear. We do not ask every traveler to fit into one fixed tour format. Instead, we start with your dates, travel style, arrival point, interests, and comfort expectations, then shape a route that fits the real conditions of West Sumatra and Sumatra travel.

Private travel in this region works best when the route is planned honestly. Road timing, ferry logistics, weather, accommodation style, local availability, and your energy level all matter. The booking process is built to make those details clear before you travel.

Step 1: Send an inquiry

The first step is to contact us by WhatsApp or email. You do not need to know the full itinerary yet. A simple message is enough to begin.

Helpful details include:

  • Travel dates or estimated month
  • Number of travelers
  • Arrival city and departure city
  • Main interests
  • Preferred travel pace
  • Hotel comfort expectations
  • Whether children or older travelers are joining
  • Special interests such as food, coffee, surf, photography, or culture

If your plan includes Mentawai, please also mention surfboards, luggage, and ferry timing concerns.

Step 2: We review the route

After receiving your inquiry, we review what is realistic for your dates. This is an important step because some routes look easy on a map but feel tiring in real travel.

We may suggest adjusting the order of places, adding a buffer night, reducing the number of destinations, or changing the route so the journey feels smoother. The goal is not to make the itinerary look full. The goal is to make it work well.

For example, a West Sumatra route may need more time around Bukittinggi and Harau Valley. A Mentawai plan may need a Padang overnight before the crossing. A Sumatra overland journey may need recovery days between long drives.

Step 3: Receive a suggested plan

Once the route direction is clear, we prepare a suggested private journey plan. This may include the route flow, number of nights, key experiences, travel notes, and estimated structure.

The first version is not always the final version. You can respond with what feels right and what needs to change. Some travelers want more culture. Others want slower scenery, more food, better hotels, fewer long drives, or more photography time.

Step 4: Adjust the itinerary

Private travel works best through conversation. We refine the plan until the route feels realistic and aligned with your expectations.

Adjustments may include:

  • Changing the number of nights
  • Replacing one destination with another
  • Adding a food or coffee experience
  • Making the route more family-friendly
  • Reducing long drive days
  • Adding Padang buffer time
  • Making the pace slower or more active

At this stage, we also clarify what is included, what is not included, and what depends on local availability.

Step 5: Confirm the journey

After the route, dates, and travel details are agreed, we confirm the journey. Confirmation details may include payment instructions, guest information, pickup details, accommodation notes, and any special requirements.

For some routes, especially Mentawai, surf trips, special-interest experiences, or peak travel periods, earlier confirmation is better because availability can be limited.

Step 6: Pre-trip preparation

Before arrival, we help make sure the practical details are clear. This may include airport pickup timing, hotel meeting point, packing notes, road expectations, ferry timing, or local travel reminders.

Good preparation makes the journey calmer. This is especially important for travelers arriving after long flights, families, surfers with board bags, or guests connecting to remote areas.

During the journey

During the trip, the route follows the confirmed plan, but private travel also allows reasonable adjustment when conditions require it. Weather, road timing, local events, or guest energy may affect the day.

The aim is to keep the journey safe, comfortable, and worthwhile without forcing the itinerary in a way that weakens the experience.
